Who does this policy apply to?
This Privacy Policy applies to all users of the Gathering Our Voices mobile application (“App”) provided by the BC Association of Aboriginal Friendship Centres (“BCAAFC,” “we,” “us,” or “our”). This includes but is not limited to users, delegates, chaperones, facilitators, exhibitors, sponsors, artisans, entertainers, volunteers, and BCAAFC staff members who choose to use the Gathering Our Voices App.
Who does this policy not apply to?
In some instances, the App’s services or those offered by a third-party service provider to our customers or users have their own specific privacy policies. This policy does not apply to third-party websites or services that may be linked from the App. We encourage you to review the privacy policies of those third parties.
What information does this Privacy Policy apply to?
This policy applies to all personal information that we collect, use, or disclose about our App users.
This includes your name, address, email, any collected information in user forms, payment method, as well as how you use our App.
What information does this policy not apply to?
Any information that we de-identify, aggregate or anonymize to identify trends, manage our business, develop statistical information, understand how we are performing, or develop relevant products, services or offers.
Such information may also be shared with third parties for other analytical purposes but will not personally identify any individual. Payment details are not collected or stored in our system.

How does GOV obtain consent?
By using the App, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy. We may also obtain your consent through specific requests, such as when you provide information for a user profile or when you explicitly agree to our terms and conditions.
Withdrawing Consent
You can withdraw your consent for the use and disclosure of your personal information at any time by contacting us at [email protected]. Please note that withdrawing consent may impact your ability to use certain features of the App.
How & Why We Collect Personal Information
How does GOV collect my personal information?
We collect personal information when you use the App, including when you create a user profile, interact with content, or submit information. We may also collect information through automated means, such as cookies and log files. In addition, you may receive automatic emails when performing certain action in the app, as a receipt of a specific action you took.
Why does GOV collect my personal information?
We collect personal information for the following purposes:
To facilitate and enhance your experience with the Gathering Our Voices Youth Leadership Training Event. This includes sending notifications, updates, workshop schedules, event information, and other relevant communications related to the event.
To administer the Gathering Our Voices event, which may include sharing personal information with workshop facilitators, volunteers, staff, and partner organizations for safety and administration purposes.
To improve and optimize the functionality, security, and performance of the App.
To report aggregate data to funders.
Your consent to the collection of this demographic information is vital to our commitment to creating a safe and positive experience for all attendees of Gathering Our Voices. Please be assured that the collected data will be treated with the utmost confidentiality and will only be used for the aforementioned purposes.
Disclosure
When is my personal information disclosed?
We may disclose your personal information in the following circumstances:
To workshop facilitators, GOV volunteers, GOV staff, and BCAAFC staff involved in the Gathering Our Voices event.
To partner organizations involved in organizing the Gathering Our Voices event.
Aggregate data is shared with GOV funders and sponsors, for their reporting.
To a law enforcement agency whenever we have reasonable grounds to believe that you are knowingly involved in unlawful activities.
To a public authority or agent of a public authority if it appears that there is imminent danger to life or property which could be avoided or minimized by disclosure of the information.
To a public authority or agent of a public authority, for emergency public alerting purposes, if a public authority has determined that there is an imminent or unfolding danger that threatens the life, health or security of an individual and that the danger could be avoided or minimized by disclosure of the information.
In various jurisdictions, including British Columbia, Canada, and potentially other regions where BCAAFC’s staff operate.
Storage, Security & Retention
Where will my personal information be stored?
Your personal information may be stored on servers located in various jurisdictions, including British Columbia and Ontario, Canada. The information will be protected with appropriate safeguards, but may be subject to the laws of the jurisdiction where it is held.
The GOV team and delegates ensure that GOV is responsible for all personal information of our users of our digital properties in our possession and control. We ensure that there is a comparable level of protection for information that is processed for us by third parties.

We take reasonable steps to protect your personal information from unauthorized access, use, or disclosure. We use industry-standard security measures to safeguard your data.
How long will GOV retain my personal information?
We will retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy or as required by applicable laws. Information that is no longer required by us will be destroyed or de-identified.
